2. Our Role
2.1 Event Planner and Management Company
Thailand Planner acts as an event planner and management company.
We are not:
-
A hotel or accommodation provider
-
An airline
-
A transport operator
-
A tour operator
-
A travel agency
-
An insurance provider
-
A real-estate agent or broker
Where an event requires hotels, villas, restaurants, boats, transportation, entertainment, catering, production companies, decorators, photographers or other specialist suppliers, those providers remain independent third parties unless expressly stated otherwise in a written agreement.
We may research, evaluate, recommend, negotiate with and coordinate such providers on behalf of a client as part of our event management services.
2.2 Independent, Planner-Led Approach
Thailand Planner operates independently and does not sell predetermined event packages or operate as a venue broker.
Our recommendations are intended to be based on the requirements of the event and the interests of the client.
We may have professional relationships with venues, hotels, suppliers and other businesses within Thailand's hospitality and event industry. Such relationships do not mean that a particular venue or supplier is automatically suitable for a client.
Where commissions, referral arrangements or other commercial relationships could affect a recommendation, the relevant arrangement will be handled in accordance with applicable law and the terms agreed with the client.
2.3 Third-Party Suppliers
Third-party suppliers remain responsible for their own services, pricing, contracts, licenses, insurance, safety requirements, staff and legal compliance.
Unless expressly agreed otherwise in writing, we do not guarantee the performance of an independent third-party supplier.
Where we coordinate a supplier as part of an event, our role is to manage the planning relationship and integration of that supplier into the overall event. It does not make us the supplier itself.
3. Event Proposals, Contracts and Scope
Event projects are normally defined through a written proposal, quotation, confirmation or contract.
The applicable client contract takes priority over this general website policy where the two documents address the same matter differently.
A project agreement may specify:
-
Scope of services
-
Event objectives
-
Estimated or approved budget
-
Planning or management fees
-
Payment schedule
-
Project milestones
-
Supplier responsibilities
-
Cancellation and postponement terms
-
Change-of-scope provisions
-
Other project-specific conditions
Clients are responsible for reviewing proposals and contracts carefully before approval and for informing us promptly of any errors, omissions or requested changes.
4. Fees and Payments
Our management fees may be structured as a fixed planning or management fee, a percentage of the overall event investment, or another structure agreed in writing.
The applicable proposal, quotation or contract will state the relevant fees, currency, payment schedule and other financial conditions.
Unless expressly agreed otherwise:
-
Bank charges and currency conversion costs are the client's responsibility.
-
Third-party supplier charges remain subject to the supplier's own terms.
-
Work may be paused if agreed payments are not received when due.
-
Additional work resulting from a material change in scope may require additional fees.
No fee, price or project estimate displayed on the website constitutes a binding quotation unless expressly issued to the client as such.
5. Cancellations, Postponements and Changes
Event planning involves advance work, reserved planning capacity, supplier coordination and commitments made specifically for a project.
Cancellation, postponement or significant changes to an event may therefore result in fees or costs.
The applicable cancellation, postponement and refund terms will be set out in the individual client agreement.
Third-party suppliers may have separate cancellation, amendment and refund policies. Where a client contracts directly with a third party, that supplier's terms apply to that relationship.
6. Force Majeure and External Events
Events can be affected by circumstances outside our reasonable control, including but not limited to:
-
Severe weather
-
Natural disasters
-
Government restrictions
-
Changes in local regulations
-
Political events
-
Strikes
-
Transport disruption
-
Flight cancellations
-
Epidemics or pandemics
-
Venue closure
-
Supplier failure
-
Other circumstances that could not reasonably have been prevented or anticipated
Where such circumstances affect an event, we will make reasonable efforts to identify alternative arrangements or solutions.
Our responsibility in such circumstances is subject to the applicable client agreement and mandatory requirements of law.
