Policy & Terms – Thailand Planner, VIP Puzzle & Meow Walk

This Policy & Terms page explains how Siam Planner Co., Ltd. (“we”, “us”, “our”) operates:

  • Thailand Planner – our event management, wedding, party and MICE services in Thailand

  • VIP Puzzle – our global wedding planner directory

  • Meow Walk – our art-driven gift shop and product line

It applies to all visitors, clients, listed planners, and shoppers using any of these domains (collectively the “Sites”):

All of these domains point to ThailandPlanner.com and are operated by Siam Planner Co., Ltd.

By accessing or using any of our Sites, submitting information, booking an event, applying to be listed in the directory, or placing an order with Meow Walk, you agree to be bound by this Policy & Terms. If you do not agree, you should not use our Sites or services.

1. Who We Are

We are an event management company and creative studio providing:

  1. Event Planning & Management in Thailand – weddings, private parties, corporate events, summits, incentives, conferences, exhibitions and other MICE events.

  2. VIP Puzzle – Global Wedding Planner Directory – a curated listing platform for wedding planners worldwide.

  3. Meow Walk – Gift Shop – original designs and calligraphy alphabet art printed on products suitable for events, parties, weddings and gifting, usually fulfilled via print-on-demand services.

 

2. Scope & Definitions

In this Policy & Terms:

  • “Sites” means all websites and digital experiences under the domains listed above.

  • “Event Services” means our planning, design, consulting and management services for weddings, parties, corporate and MICE events in Thailand.

  • “Directory” or “VIP Puzzle” means our global wedding planner listing and related tools.

  • “Shop” or “Meow Walk” means our gift shop and print-on-demand product offerings.

  • “Client” means anyone who engages us to provide Event Services.

  • “Planner” means a wedding planner or event planner listed or applying to be listed in the Directory.

  • “Customer” means anyone who purchases products through Meow Walk.

  • “You” means any visitor, Client, Planner or Customer using our Sites or services.

 

3. Relationship & Roles

3.1 Event Planner, Not Real Estate or Travel Agent

For Event Services in Thailand, we act as your event planner and management company. We are not:

  • a real estate agent or broker;

  • a hotel, airline, transport or tour operator;

  • a travel agency or insurance provider.

We help you create concepts, shortlist and liaise with venues and vendors, and coordinate the event on your behalf. However, specific suppliers – such as hotels, villas, private islands, yacht operators, decorators, caterers, entertainers, printers and others – remain independent third parties with their own terms.

3.2 Vendor Independence

Unless explicitly stated in a written contract, we do not own, control, or operate the venues, hotels, villas, boats, airlines, or other third-party vendors used for your event. We may recommend and negotiate with them, but they are responsible for their own performance, safety, licensing, and compliance with local laws.

3.3 Directory Independence

In the VIP Puzzle Directory, each listed Planner is an independent business. We do not employ Planners and are not party to their contracts with their own clients. We do not guarantee their availability, pricing, communication, or performance.

3.4 Meow Walk & Print-on-Demand Partners

Meow Walk designs are created by our studio. Most physical items are produced, printed, packed and shipped by third-party print-on-demand providers (for example, Printify or Printful and their connected print facilities). Once an order is submitted, it is typically sent automatically to those partners. They are responsible for manufacturing and logistics; we are responsible for the creative designs, storefront and customer communication.

 

4. Use of Our Sites

You agree to:

  • Use the Sites only for lawful purposes and in accordance with this Policy & Terms.

  • Not attempt to gain unauthorised access to our systems or to interfere with the Sites’ operation.

  • Not copy, scrape, resell, or systematically download content, images, or designs from our Sites.

  • Not falsely represent yourself as another person, company, or Planner.

We may suspend or restrict access if we reasonably believe there is misuse, fraud, or harm to our business, other users, or third parties.

 

5. Intellectual Property

We invest significant time and creativity into original calligraphy alphabet art, visual concepts, texts, graphics, music and other assets used across Thailand Planner, VIP Puzzle and Meow Walk.

  • All content on the Sites – including but not limited to artwork, illustrations, photographs, calligraphy alphabet art, designs, audio, video, logos, copywriting and layout – is protected by copyright and other intellectual property laws.

  • Unless we expressly grant you written permission, you may not copy, reproduce, adapt, modify, transmit, display, sell, license, or otherwise exploit our content for your own commercial projects or products.

  • Purchasing a Meow Walk product gives you the right to use that physical product in normal ways (wearing, gifting, decorating), but does not give you the right to reproduce or commercialise the underlying artwork.

Any unauthorised use of our intellectual property may result in legal action.

 

6. Event Services in Thailand

6.1 Proposals, Scope & Contracts

Event Services are usually defined through a custom proposal and/or contract, which sets the scope of work, budget, payment schedule, and cancellation terms. In case of any conflict, the signed contract or confirmation email takes priority over this page.

You are responsible for:

  • Reviewing all details carefully before approval.

  • Confirming that the scope matches your expectations and budget.

  • Notifying us promptly of any errors or required changes.

6.2 Fees, Payments & Currency

  • Our fees may be structured as a planning fee, a percentage of your total event budget, or a hybrid, as agreed in writing with you.

  • All amounts, currency, and due dates will be stated in your proposal or invoice. Bank charges, currency conversion costs, and any additional financial fees are your responsibility.

  • Work may be paused or cancelled if payments are not received by the due dates.

6.3 Cancellations, Postponements & Changes

  • Because each event requires advance planning, supplier bookings, and dedicated time from our team, deposits are generally non-refundable once we begin work, unless agreed otherwise in your individual contract or required by applicable law.

  • Postponements, significant changes of scope, or reductions in guest count may incur fees or cause price changes, depending on venue and vendor terms.

  • Any refunds or credits related to third-party vendors (such as hotels or airlines) are subject to those vendors’ own policies.

6.4 Force Majeure & External Risks

Events may be affected by circumstances beyond our reasonable control (for example, extreme weather, political events, pandemics, strikes, flight disruptions, or local regulations).

In such cases:

  • We will make reasonable efforts to propose alternative dates, layouts, or solutions.

  • We are not liable for costs, losses, or damages resulting directly from force majeure events, except where required by law.

  • You may need to rely on your own insurance and on any policies offered by third-party vendors.

 

7. VIP Puzzle – Global Wedding Planner Directory

7.1 Purpose of the Directory

VIP Puzzle is intended to:

  • Help couples and hosts discover wedding planners worldwide.

  • Provide planners with a profile page and directory presence.

  • Share informational content about planning and our ecosystem.

However, we do not guarantee that any specific Planner will be suitable for your event, respond to inquiries, or accept your project.

7.2 Listings & Accuracy

  • Some information in the Directory is provided by Planners themselves or gathered from public sources.

  • We may, but are not obliged to, verify or update every detail in real time.

  • Planners are responsible for keeping their own profile information accurate and up to date.

We reserve the right to edit, hide, or remove any listing at our sole discretion, particularly if we suspect misrepresentation, abuse, or legal issues.

7.3 No Warranty or Guarantee

We are not responsible for:

  • The quality, legality, or timeliness of services provided by any Planner.

  • Any contract, pricing, dispute, or communication between you and a Planner.

  • Any loss or damage arising from your use of information found in the Directory.

Your relationship with any Planner is strictly between you and that Planner.

8. Meow Walk – Gift Shop & Products

8.1 Nature of Products

Meow Walk offers event-friendly, celebration-ready products featuring our original designs and calligraphy alphabet art, such as apparel, accessories, decor items, and other gifts suitable for weddings and parties. Most items are produced on demand, once you place an order.

Because items are custom-printed and made to order:

  • Slight variations in colour, placement, sizing and print quality may occur compared with digital previews.

  • We do not guarantee an exact match to any specific screen or print sample.

8.2 Orders, Fulfillment & Shipping

  • When you place an order and it is accepted, your payment is processed and your order is sent to one of our print-on-demand partners for production and shipping.

  • Production and shipping times are estimates only and may vary by destination, season, or external factors such as customs or logistics disruptions.

  • Customs duties, import taxes and related fees (if any) are your responsibility and depend on your country’s regulations.

8.3 Returns, Refunds & Defects

Because products are made to order:

  • Orders are generally non-refundable and cannot be changed once they enter production.

  • If an item arrives damaged, misprinted, wrong size (not matching your order), or significantly different from the description, you must contact us within a reasonable timeframe (for example 7–14 days) with clear photos and order details.

  • Where the issue is confirmed, we will work with our print-on-demand partner to arrange a replacement or other remedy in line with our then-current shop policy and applicable law.

We are not responsible for issues caused by incorrect shipping information, failure to collect parcels, or normal wear and tear.

9. Pricing, Taxes & Changes

  • All prices shown on the Sites are subject to change without notice until you receive a confirmed quote (for Event Services) or complete checkout (for Meow Walk).

  • Taxes may be included or added depending on your location and applicable regulations.

  • We may correct obvious errors in pricing or descriptions and cancel or adjust orders or quotations that were based on such errors, as permitted by law.

10. Privacy & Data Protection (Overview)

We respect your privacy and aim to collect only the information that is relevant to your relationship with us.

10.1 What We Collect

Depending on how you use our Sites, we may collect:

  • Basic contact information (name, email, city, country, phone if you choose to share it)

  • Event details you provide in forms or messages (date, location, guest count, preferences, cultural requirements)

  • Planner information for Directory listings (company name, services, links, images)

  • Order information for Meow Walk (products, sizes, shipping address)

  • Technical data such as IP address, device type, and browsing behaviour, typically via cookies or analytics tools.

10.2 How We Use Your Data

We may use your information to:

  • Respond to your inquiries and provide Event Services.

  • Manage Directory profiles, contact Planners, or send relevant updates.

  • Process and deliver Meow Walk orders.

  • Improve our Sites, services and user experience.

  • Comply with legal obligations and protect our rights.

We do not sell your personal data. We may share limited data with trusted third-party providers only when necessary (for example, payment processors, print-on-demand partners, shipping companies, email or hosting providers, analytics or security services).

10.3 Data Retention & Rights

We keep your data only as long as reasonably necessary for the purposes described above or as required by law. Depending on your jurisdiction, you may have rights to access, correct or delete certain personal information. You can always contact us at office@siamplanner.com to ask about your data.

11. Children

Our Sites and services are aimed at adults organising events or making purchases. We do not knowingly provide services directly to children without verifiable parental or guardian consent where required. If you believe we have collected personal data from a minor without proper consent, please contact us so we can investigate and take appropriate action.

12. Disclaimers & Limitation of Liability

To the maximum extent permitted by law:

  • The Sites and their content are provided “as is” and “as available”. We do not guarantee uninterrupted access, error-free operation, or that all information will be current at all times.

  • We are not liable for any indirect, incidental, special or consequential damages, loss of profit, loss of data, or reputational harm arising from your use of the Sites, reliance on directory listings, or use of Meow Walk products.

  • Our total aggregate liability to you for any claims related to our Sites or services will not exceed the total amount you paid directly to us for the specific service or order that gave rise to the claim, except where applicable law requires a higher limit.

Nothing in this Policy & Terms excludes or limits liability where such exclusion or limitation would be unlawful.

13. Changes to This Policy & Terms

We may update or revise this Policy & Terms from time to time. Changes will be posted on this page with an updated “Last updated” date. Your continued use of the Sites or services after any changes are posted constitutes your acceptance of the revised terms.

14. Governing Law & Disputes

This Policy & Terms is governed by the laws of Thailand, without regard to conflict-of-law principles. Any dispute arising out of or related to our Sites or services may be subject to the jurisdiction of competent courts in Thailand, unless a different jurisdiction is required by mandatory law.
